How to use the timesheet templates

Step 1:

Download the timesheet template of your choice. Please note, you can enter values on XLS files on your computer. You must make a copy of the Google Sheet to fill in values on your computer. Do not request access to the Google Sheets.

On XLS files and Google Sheets, hours this day/week/month, rates, and sub-total formulas will calculate automatically. However, you’ll need to calculate “Total (Hours)” manually, based on clock-in and clock-out times. Word and PDF files are read-only, so print a paper copy and fill in values manually for best results.

Please note: These templates calculate an employee’s basic pay and do not include things like taxes, workman’s comp, or other paycheck deductions.

Step 2:

Fill in your employee’s name, their manager’s name, your company’s name, the date, your employee’s standard pay rate, and your employee’s overtime pay rate.

Step 3:

Employees can fill in the date, job/shift, their times in and out (including breaks), and any remaining hours (overtime, sick, holiday, and vacation).

Step 4:

When it’s time to hand the timesheet in, employees sign the top of the form. Managers can then calculate the employee’s total time for payroll.

How to create your own Excel timesheet

Follow this step-by-step guide to build a simple weekly Excel timesheet to share with your team. Please note that our example shows only basic formulas, as the calculations vary based on your business’ needs.

Step 1: Define your date ranges and relevant labels

Decide what kind of information you want to collect to run payroll. Typically, this starts with an employee’s details and defining the pay period (e.g., weekly, bi-weekly).

Next, define the format for the information you wish to collect. For example:

  • Do you want employees to enter their total time worked or enter their clock-in and clock-out times instead?
  • Do you want to include breaks, overtime, PTO, or sick time?

Step 2: Insert the formulas

In our free and downloadable Excel templates, we have included formulas for the following. Formulas multiply the corresponding rates for a dollar amount automatically:

  • Total hours for the day, week, or month
  • Total overtime hours
  • Total sick hours
  • Total holiday hours
  • Total vacation/PTO hours

Step 3: Lock and protect

Once you have formulated the Excel timesheet as desired, be sure to lock it to protect it from unintentional changes. To do this, highlight the cells with formulas, right-click, and select “Format Cell.”

   

Under the “Protection” tab, check the “Locked” box to protect the formulas.

Before using any timesheet, ensure you and your employees are adhering to any government compliance  guidelines. To avoid any trouble—not to mention inaccurate payroll—consider these important questions.

1. Are you paying for unauthorized overtime? If not, you could be noncompliant. If your employees are entitled to overtime pay, you have to pay it, whether you authorized the overtime or not. Failing to pay unauthorized overtime is a Fair Labor Standards Act (FLSA) violation. So even if you have a strict no-overtime policy in place at your company.

2. Are your employees tracking employee breaks? The Fair Labor Standards Act (FLSA) does not require employers to provide meal or rest breaks to employees. Twenty-one out of 50 states mandate meal breaks for employees, nine of which mandate both meal and rest breaks. But only 1 in 5 employees steps away from their desk for a midday meal. If your employees are still working during their lunch breaks, it means you could be violating FLSA regulations and not tracking breaks.

3. Are your employees misclassified? If you misclassify nonexempt employees, you’re in violation of the Fair Labor Standards Act (FLSA). So what’s the difference between nonexempt and exempt employees? Typically, nonexempt employees are hourly employees, and they’re eligible for overtime pay. If you misclassify your employees and fail to pay overtime, you may owe back pay and penalties.
